Duplicate Transactions in QuickBooks? How to Find and Fix Them

Duplicates usually come from two sources recording the same money: a bank feed plus an app integration, a manual entry plus the feed, or a reconnected bank downloading again. Find the pattern first, then match or exclude the extras instead of deleting at random.

Try this first

  1. Run a report for the affected account and sort by date and amount
  2. Work out where each duplicate came from
  3. In Banking, match transactions to existing entries instead of adding them
  4. Exclude duplicates still waiting in “For review”
  5. Carefully undo duplicates that were already added
  6. Reconcile against your bank statement to confirm

Questions

Should I delete or exclude duplicate transactions?

Exclude them if they’re still in the bank feed’s review list; delete only entries added by mistake that aren’t reconciled.

Why does QuickBooks show more income than my bank deposits?

Often sales are recorded once by an integration and again from the bank deposit.
